Woviq (“Woviq”, “we”, “us”), operated by Ahmad Faraz, is a bot-less AI meeting notetaker. This policy explains what we collect, how we use it, and the choices you have. We wrote it in plain language on purpose.
What we collect
- Account details: your email address, an optional display name, and a securely hashed password.
- Meeting data: audio you choose to capture, and the transcripts, summaries, action items, and follow-up drafts generated from it.
- Usage data: basic product usage (for example, summaries generated per month) used to enforce plan limits and improve the service.
- Product analytics: how you use the apps — events such as pages or screens viewed, recordings started and stopped, and subscriptions started — collected through our analytics provider (PostHog) to understand and improve the product. These events are tied to your account via your email address. They never include your meeting audio, transcripts, or summary content.
- Diagnostics: if something errors, we collect technical crash and error reports (no meeting audio or transcript content) to find and fix bugs.
- Payment data: handled by our payment processors — Razorpay on the web, and Apple’s App Store for in-app purchases in our iOS app. We do not store your card, UPI, or Apple payment details; we keep a subscription reference and status.
How we use your data
We use your data to provide the service: capturing meetings you start, transcribing and summarizing them, generating action items and follow-up drafts, enforcing plan limits, processing payments, and sending account and product emails.
AI processing
When you start a recording or import an audio file, Woviq collects the audio you capture and uploads it to our backend, which sends that audio — and the transcript text generated from it — to our third-party AI subprocessors solely to produce your transcript, summary, action items, and follow-up drafts. We use Google Cloud (Vertex AI Gemini and Google Speech-to-Text) for Hinglish speech-to-text and summarization, with Groq (Whisper) as a fallback transcription engine. In our iOS app we disclose this and ask for your agreement before any audio is sent.
These providers process your data as our subprocessors, under their enterprise terms, which require data-protection commitments equivalent to those described in this policy. Your recordings, transcripts, and summaries are not sold, and are not used to train AI models — neither ours nor those of any other customer. AI output can be imperfect, so please verify anything important.
Subprocessors
We keep this list short and name our subprocessors plainly:
- Neon: serverless Postgres database.
- Vercel: application hosting and private blob storage for audio.
- Razorpay: payments and subscriptions on the web.
- Apple: App Store in-app purchases and subscription billing in our iOS app.
- Resend: transactional email.
- Google Cloud: Hinglish speech-to-text and summarization (Vertex AI Gemini).
- Groq: fallback speech-to-text transcription (Whisper).
- Sentry: crash and error monitoring (diagnostics only).
- PostHog: product analytics (usage events, identified by your email; no meeting content).
Retention and deletion
Once a summary is generated, the source audio can be deleted. When you delete a meeting, its audio, transcript, and summary are removed. When you delete your account, we remove your meetings, transcripts, summaries, stored audio, and account record, and cancel any active subscription.
Security
All traffic runs over HTTPS/TLS. Audio is stored privately and access is re-checked on every request. The Chrome extension requests access only to your meeting platforms (Google Meet, Zoom, and Microsoft Teams), the Woviq API, our private blob storage upload endpoints, and our error-monitoring and product-analytics endpoints. Your choices and rights
You can access and edit your meetings, export summaries on eligible plans, and delete individual meetings or your entire account from the dashboard. For data requests, contact us at the address below.
Cookies
We use a first-party session cookie (woviq_session_jwt) to keep you signed in on the web, and our product-analytics provider (PostHog) stores a first-party identifier (cookie/local storage) to recognise returning sessions. We do not use advertising cookies, and we do not capture session recordings of your screen.
Recording responsibly
You are responsible for obtaining any consent required by law before recording a meeting. Please follow the recording laws that apply to you and your participants.
Changes
We may update this policy as the product evolves. We will revise the date above and, for material changes, take reasonable steps to let you know.
